A CLOSER LOOK AT YOUR MOVE
Turn your floor plan into a moving plan
Give each desk, office and shared space a simple identifier. Label furniture and boxes to match, keeping the system consistent between staff members. Inventory meeting room tables, storage cabinets and reception furniture separately from individual workstations.
Ask which pieces need disassembly and what is included in putting them back together. A clear plan helps reduce questions when items reach the new suite and gives your staff a useful guide for their own preparation.

Give technology and records their own plan
Coordinate computer shutdown, cable labeling, backups and reconnection with your IT provider. Explain which equipment is ready for transport and which pieces will be handled separately.
Follow your organization's procedures for confidential records, and decide who will retain control of those materials. Do not assume technology setup or document management is part of furniture moving.

Prepare both buildings for the day
Check loading arrangements, service elevator reservations and moving hours with each property manager. Pass along documentation requirements before the move is confirmed.
Share any timing limits with the office and discuss whether your preferred date or an alternative is practical. Choose a contact who can answer placement questions on arrival.
Can you move desks and conference tables?
Include them in your inventory, along with dimensions and photographs if useful. Discuss any required disassembly and reassembly during the estimate so the team can confirm the scope and preparation.
Will you disconnect and reconnect our computers?
Plan technical shutdown and setup with your IT provider unless a different arrangement is specifically confirmed. Tell the moving office what equipment needs transport and how it will be prepared.
How can staff prepare their workstations?
Use the agreed labeling system, pack personal belongings and loose supplies, and follow your IT team's instructions for equipment. Keep required documents accessible and avoid leaving small items loose in shared spaces.
